Building a policy and procedures dependency mapping app

The image shows a clean, modern web interface for 'Policy & Procedure Mapper'. On the left, a sidebar allows users to upload PDF files or enter URLs for online documentation. A large blue 'Analyze Dependencies' button sits at the bottom of this section. The main content area displays a table of analysis results. Entries are categorized with colored badges: blue for 'Dependency' and light red for 'Conflict'. The entries detail relationships between different volumes of 'RULES, POLICIES AND PROCEDURES MANUAL' and legal documents like the 'Constitution of Guyana'. One entry highlights a conflict where a manual section refers to the wrong chapter for contracting guidance, demonstrating the tool's ability to find internal cross-referencing errors.

Managing complex documents is a constant challenge for many organisations. A change in one manual can often affect several other policies. To solve this, Cherryleaf has developed a new proof of concept app that helps teams track these vital links.

The challenge of document management

Policies rarely exist in isolation. Keeping track of these connections manually is slow, and over time, you can end up with policies and procedures that contradict each other. You can also find that a policy change isn’t being followed, because other policies and procedures affected by it haven’t been updated.

How the app works

The tool is designed to be simple and intuitive. Users can upload files directly to the platform. It supports standard formats, such as PDF and DOCX files. The app also handles digital content. You can provide a URL for any online documentation site. The engine will then analyse the text to find connections.

Identifying dependencies and conflicts

A high-fidelity software interface titled 'Policy & Procedure Mapper'. The left sidebar includes a file upload area for PDF, DOCX, and TXT files and a field to add online policy URLs, ending with a blue 'Analyze Dependencies' button. The main workspace displays 'Analysis Results' for 12 relationships. A table lists four dependencies with columns for type, source, target, and description. The entries link sections of an 'ABC Office Manual' to other documents like a 'Money Laundering Policy' and 'Solicitors Accounts Rules (SAR)'. The design is clean and professional, using a white and light gray color palette with bright blue accents.

The mapper focuses on two main types of relationships: dependencies and conflicts. Each result shows the source, the target, and a short description of the relationship, presented in a clear list.

Flagging dependencies in policies and procedures

The tool shows where one document section relies on another. For example, the recruitment policy might be affected by what’s in the equality policy.

Highlighting conflicts between policies and procedures

The app flags internal errors. It spots when a section references the wrong section or provides contradictory guidance.

Exporting your data

You can download the results as a spreadsheet and use it to update your documentation. you can also share the file with your team.

Moving forward with confidence

We can show you how you can build an app with this capability, either as part of a policies and procedures project, or as part of a policies and procedures training course for your company.

This app shows how you can reduce the effort needed to maintain a cohesive policy library. By mapping these links, you can help ensure your organisation stays compliant and consistent.
